Buying an enterprise asset management platform is a decision you live with for years. The demos all look capable; the difference shows up later, in the day-to-day. This guide walks through what actually separates a platform that gets used from one that becomes shelfware.
Start with the maintenance strategy, not the feature list
Every EAM platform can raise a work order. The question is whether it supports the way you want to maintain your assets. Reactive maintenance is where most operations start and where the cost lives. The goal is to move work toward planned and condition-based maintenance, so failures are caught before they happen rather than after.
Ask how the platform schedules work: by calendar time, by meter reading, by condition, or by a mix. If it can only schedule by date, it will struggle to reflect how your assets actually wear.
The field is where adoption is won or lost
Technicians do the real work, often with gloves on, in places with poor connectivity. If the mobile experience is an afterthought, your data will be too — because people will fill it in later, from memory, if at all.
Look for genuine mobile field service, ideally that works offline and syncs when connectivity returns. Test it on a phone, not a laptop, before you commit.
Compliance and audit can't be an add-on
In regulated and safety-critical operations, you have to prove what happened: who did the work, what parts went in, which permits and certifications were current. A platform that tracks this natively saves you from rebuilding it in spreadsheets.

Treat AI as a helper, not a headline
AI in EAM is genuinely useful when it does specific, checkable jobs: suggesting the priority and the right asset for a new work order, warning that an asset's condition is declining, or recommending a maintenance interval based on real history. Be wary of AI that can't show its reasoning or that sits apart from the daily workflow.

- Integration with your ERP, finance, and identity systems
- Training and the change effort to get people using it
- Ongoing support and who owns uptime after go-live
- Deployment flexibility — SaaS, private cloud, or on-premise — as your rules change
The best EAM platform is the one your team actually uses. Prioritize maintenance strategy, mobile field work, native compliance, practical AI, and total cost over the length of the feature list.
